Office 365 – Export the Mailboxes in PST File Format

In this blog, I will explain the method to export office 365 mailboxes into Outlook PST file format by using the eDiscovery PST Export Tool. This tool is much similar to the ExMerge tool. Let us discuss In-Place eDiscovery before proceeding towards the solution to Export the PST file.

In-Place eDiscovery is a way with which one can perform the searches with the mailboxes to find out the relevant content. You can Export the search results of In-Place eDiscovery into the Outlook PST format by using the eDiscovery Export Tool.

Follow the Steps mentioned below to Export the mailboxes into PST file format

  • First of all login to the Office 365 by using the Administrative Credentials.

  • Then Click on Exchange as shown below:

  • After that, Click on permissions >> admin roles
  • Select Discovery Management
  • Add Mailbox Import Export role, add yourself as a member and save the settings

  • Now select in-place eDiscovery & hold from the compliance management.

  • Now create a new search query by clicking on the + sign
  • Enter the name & Description of the Search Query and click on the Next button.

  • Now choose the mailboxes that you want to query & click on the next button.

  • In the Next Window if you found all options are greyed out means that you don’t have the required permissions. Again check out the permissions. If permissions have been added successfully then sign out and sign in back to proceed further.

  • Now just type the text that you want to search. To perform the batter search operation, you can also use Boolean Expression like AND, OR. After that click on Next Button to proceed further
  • You can also perform in place hold of Search items. (on the time of mailbox selection, if you have chosen all Mailboxes then this option will not be available).

  • After that, click on Compliance management and click on the arrow button to Export the results to PST file format

This will download PST Export Tool that is used to Export the PST file. Now browse the location in PST Export Tool where you want to save the Exported PST file.

Enable Duplication >> Make a check on this option to exclude the duplicate emails.

Include unsearchable items >> Make a check on this option to Export the unsearched items to a new PST file

Then Click on start button to Export the results in PST file format
